What a brand profile holds

A brand profile is the single source of truth for how your emails look and sound. You set it up once, and every template, signature, campaign, and hosted page pulls from it automatically. If you manage several brands or clients, each one gets its own profile.

The building blocks

Each brand profile stores:

  • Brand name. How the brand appears across your dashboard and in the brand switcher.
  • Logo. The image itself, plus its display width and alignment (left, center, or right). Logos wider than 200px trigger a warning in the editor because they render poorly in email clients.
  • Colors. Seven values that style your emails end to end: Background, Inner Background, Text, Button Background, Button Text, Footer Text, and Divider.
  • Font family. One of eight email-safe fonts (Arial, Verdana, Helvetica, Tahoma, Calibri, Georgia, Trebuchet MS, Times New Roman). Email clients only reliably render system fonts, so custom web fonts are not an option here.
  • AI context. A short description of your business and tone of voice. AI reads this whenever it writes email content for the brand, so a good description directly improves the copy you get.
  • Brand images. A gallery of images, either extracted from your website or uploaded by you. These appear in the media gallery when you build templates.
  • Social links and footer. Your social media profiles, footer text, and footer links, captured automatically when you extract the brand from a URL. They feed the footers of your emails and hosted pages.
  • Source URL. The website the brand was extracted from, if you used extraction. It becomes read-only after extraction.

Where your brand shows up

Once a profile exists, SmartMailing applies it everywhere:

  • Email templates: new templates start with your colors, fonts, logo, and footer already in place, and AI uses your context to write on-brand copy.
  • Signatures: signatures are pre-filled with your brand visuals.
  • Hosted pages: subscribe, unsubscribe, and preference center pages are styled with your brand.
  • Transactional emails: confirmation and welcome emails carry your branding too.

One brand or many

Your plan includes a set number of brand profiles. When you reach the limit, the New brand button changes to Brand limit reached; upgrading your plan unlocks more slots.

Fill in the AI Context field even if you set everything else manually. It is the highest-leverage field in the profile: a couple of sentences about what you sell and how you talk noticeably improves every AI-generated email.
