Edit a signature
Open a signature from the Email Signatures workspace (click the pencil icon on its card, or create a new one) and you land in the signature editor. The form sits on the left; a live preview on the right updates as you type and shows exactly what will land in your email client.
Changes save automatically as you type. A status line at the bottom of the form shows Saving and then All changes saved; if it says the save failed, check your connection. The Save button in the header simply takes you back to the signature list, since everything is already stored.
The editor is built for desktop screens. On a window narrower than about 1024px you will see a notice suggesting a larger screen.
Pick a layout
The Layout section offers four arrangements of the same information:
- Classic: bold name, a hairline divider, and an address and logo block.
- Horizontal: three columns with logo and identity, contact details, and address plus socials.
- Compact: a compact card with a big name, an inline phone, mobile, and email row, and a footer with logo and socials.
- Centered: a centered card with the logo on top, contact details stacked, and website plus socials at the bottom.
Hover a layout chip to see its description. Switching layouts keeps all your content; only the arrangement changes. The logo size also snaps to the new layout's ideal default, so check it after switching.
Your details
Fill in the personal fields: Full name, Position / title, Phone number, Mobile number, Email address, Address, and Company website. New signatures come pre-filled with sample data (Jane Doe, Marketing Director) alongside your real brand visuals, so overwrite each sample value with the actual person's details. Fields you leave empty are simply left out of the rendered signature.
Company logo
New signatures inherit the brand's logo automatically. To change it:
- Click Upload image to upload a PNG, JPG, or WebP file up to 2 MB, or
- Paste an image URL into the field below the button.
A small preview appears once a logo is set; click the x on it to remove the logo. Use the Logo size slider to set the display width between 16px and 200px.
Social links
Each social link is a platform picker plus a URL field. The dropdown covers LinkedIn, X / Twitter, Instagram, Facebook, YouTube, TikTok, and twenty more platforms, down to GitHub, Twitch, and Bluesky. Click Add social link to add a row and the x next to a row to remove it. Rows with an empty URL are not rendered.
Two settings control how the icons look:
- Icon size: 16px, 22px, or 28px.
- Icon color: Black, Color (each platform's own colors), or White.
Colors
The Colors panel on the right styles the whole signature with three values: Background, Text, and Text (secondary). Use the swatch to open a color picker or type a hex value directly. New signatures start with the brand's own colors.
If you set the background to pure white (#ffffff) or pure black (#000000), the editor shows a warning: pure white can disappear in Outlook's dark mode, and pure black can disappear in light mode. The warning suggests a safer near-white or near-black value; click the suggested value to apply it with one click.
Take the pure white and pure black warning seriously. Many recipients read email in dark mode, and a signature whose background matches the client's background looks broken to them even though it renders fine for you.
