Add your signature to your email client

SmartMailing does not send email for your signature; it produces the HTML that your everyday email client uses. You copy the finished signature once and paste it into Gmail, Outlook, or Apple Mail.

Copy the signature

You can copy from two places:

  • In the editor: click Copy HTML in the Use it panel next to the preview. The button briefly changes to Copied! to confirm.
  • From the list: click the copy icon on any signature card in the Email Signatures workspace. A toast confirms the copy and reminds you where to paste it.

Both put the fully formatted signature on your clipboard as rich text, with a plain-text version alongside for clients that only accept plain text. When you paste into a signature settings box, the email client picks up the rich version and renders the formatted signature, exactly like the live preview.

Paste it into your client

The signature settings box in each client accepts a normal paste (Cmd+V on Mac, Ctrl+V on Windows):

Gmail: open Settings, then See all settings, scroll to the Signature section, create a signature, and paste into the text box. Save changes at the bottom.

Outlook: open a new email, go to the signature settings, create a new signature, and paste. Outlook comes in several versions (new Outlook, classic Outlook, Outlook on the web, and mobile) and each hides the setting somewhere different. Apple Mail: open Settings, go to Signatures, add a signature for your account, and paste into the signature area.

Send yourself a test email afterwards to check that the logo loads and the links work.

When the browser blocks the clipboard

Some browsers and strict privacy settings block automatic clipboard access. If that happens in the editor, a fallback panel opens under the Copy HTML button:

  1. The panel explains that automatic copy is blocked and shows the signature HTML in a text box, already selected.
  2. Press Cmd+C (Mac) or Ctrl+C (Windows) to copy it manually.
  3. Click Done to close the panel, then paste into your email client as usual.
tip

The logo and social icons in your signature are loaded from the web, not embedded in the email. Some clients hide remote images until the recipient clicks to display them, so do not worry if a test email shows placeholders at first.
